The jokes have been told. From “dot-bomb” to “dot-coma,” everyone is well aware that the dot-com hype is over. Although many survivors from the trauma still carry a .com at the end of the title, what kept them alive is that they offer a valuable product or service, which just happens to be Web-enabled.

The casualties were, as one industry professional stated, “just taking up space.” They had neither the financial backing nor the substance to remain viable, at least as far as real estate is concerned. The dot-coms still in existence either had stung their competition or had acquired strong financial support to keep them going.

In technology, the remaining players are, for the most part, the ones who have been in the game all along. They include software developers and e-commerce companies, as well as firms that provide high-speed wire connections in facilities. The only thing “dot-com” about them is that many have learned to expand their business by Web-enabling their software programs, providing an additional means of access for their customers.

In National Real Estate Investor's second annual Software & E-commerce Directory, the listings themselves are quite different because many of last year's companies are not listed in 2001. Many businesses listed last year either have since failed or merged.

A total of 146 technology companies were surveyed for this Directory. Despite a heavier dependence on e-mail communications throughout businesses everywhere, an initial survey conducted via e-mail resulted in very poor response. When the same companies were surveyed via fax, the response improved greatly. Sixty companies completed and returned survey forms to be included in the Directory.

The respondents offer products and services related to property management, financial management, lease administration, portfolio management, property listings, loans, asset management and e-procurement.

Property management e-functions are among the most prevalent offerings of technology companies. Many of the companies provide services which allow tenants to communicate with their property management firm or even other tenants to place work orders, report problems or ask general questions. Work orders generated online are sent directly to a property manager or an engineer and accessed via a desktop computer or a hand-held device. Managers communicate with the tenant through e-mail to report on the status of the work order.

Users have found that tech-based property management improves the overall efficiency of maintenance operations by reducing the time it takes to process a work order. Property managers always favor management tools that will help them to avoid costly oversights. Using the Internet as a base for property management saves even more time and money because the system can be accessed anywhere and users do not necessarily have to purchase the software and install it. All work can be handled from the desktop where there is an Internet connection.

“It's very expensive to build and maintain a hard-wired network,” said Jerry Kestenbaum, president of New York-based BuildingLink.com, a property management company. “It's much better to have the system online because it's easy and inexpensive to hook up and customers can use it easily.”

Two years ago, Kestenbaum launched BuildingLink.com in response to problems that he witnessed with New York high-rise living. “I thought that building management could be done much better,” he said. “Few buildings [we worked with] even had a good list of tenants' work and home numbers. It was controlled chaos.”

Property managers primarily use BuildingLink.com to communicate with residents regarding work orders, and situations or events occurring in the building, such as elevator repairs. Tenants receive an individual username and password for limited access to the system. Building managers have complete access. The system has helped to provide more efficiency in building operations.

Similar systems can be used for other real estate-related tasks, such as lease management, portfolio administration and financial management. While most software tools can be applied to any branch of real estate, some companies are getting their feet wet by targeting specific property types. TenantDirect, a Los Angeles-based company providing property management systems, has focused its initial efforts on multifamily properties.

The company's Web-based system allows multifamily property managers to keep track of leases and tenants and communicate with residents online. Residents can use the system to place work orders or report problems and even pay their rent online. “The system is very easy to use, but very sophisticated,” said Brian Good, president, director and co-founder of TenantDirect.

The company started with multifamily because of all the real estate property types, “multifamily had the most needs,” Good said. In addition, TenantDirect CEO Timothy Siegel came from a multifamily background, having worked for Avalon-Bay Communities.

“Most real estate software tools were built by tech guys, not real estate guys,” Good said. The company's four founders drew from their own experiences to plan the technology, looking at needs fulfillment, according to Good. TenantDirect also is beginning to work with commercial properties to roll out a system for their property management needs.

Despite the number of competitors in the property management arena, industry leaders said that the volume of properties across the nation makes for more than enough work for all of the providers. Users are just now starting to embrace these types of tools on a portfolio-wide basis.

For many companies, being embraced by the industry is nothing new. Plan Data Systems Corp., a Huntington, N.Y.-based software and technology services company, has been in business since 1985 and recently released a Web version of its highly successful SpaceMan product. SpaceMan Web was created directly in response to client requests, according to Ron Beattie, executive vice president. “Now users can view their data anytime, anywhere,” Beattie said.

Putting software tools on the Web also makes them more user-friendly so that everyone from leasing agents to property managers can query a space or lease. Better management avoids problems such as missed lease renewals or optioning a space that already was optioned.

Beattie encountered problems such as those on more than one occasion before Plan Data developed LeaseMan, a lease management product. (The online version of LeaseMan is currently being developed.) “When you're tracking 500 leases on paper at one time, something is going to get missed,” Beattie said. LeaseMan has a single page abstract and it is very easy to use, he added. SpaceMan and LeaseMan are used by office, retail and industrial property owners and managers.

Despite the success of companies providing technology and services for the real estate industry, some industry executives would not be surprised to see even fewer players on the field next year. “I think there will be another shakeout,” Good said. “The industry will continue to change and evolve.”

Despite having the dot-com affiliation, Good said he expects TenantDirect to thrive. “We have good, strong investors and we have a working product,” he said. “The company has a strong foothold in multifamily, and there is enough interest to keep going.”

For some, dot-com is a welcome sign not a warning sign. “The dot-com stigma is getting better,” Kestenbaum said. “The dot-coms still standing are good companies. [Many] are software companies with a product that just happens to operate on the Internet.”
